The Role

As our Workplace & Executive Assistant, you will be responsible for ensuring the smooth day-to-day operation of our Amsterdam headquarters while providing practical and proactive support to our Executive Team.

This is a hands-on coordination role for someone who enjoys creating structure, keeping things organized, and making sure people have what they need to be successful. From managing workplace operations and company logistics to coordinating travel, calendars and events, you take pride in getting the details right and ensuring everything runs smoothly behind the scenes.

You will work closely with colleagues across the business, helping turn plans into well-executed experiences while enabling our leaders and teams to focus on their priorities.

Key Responsibilities

Serve as main point of contact for all workplace-related matters at the Amsterdam HQ, ensuring a professional, welcoming, and well-organized office environment.

Proactively support the CEO, CFO, and COO through calendar management, travel coordination, expense administration, meeting preparation, and leadership event logistics:

Ensure executives are well prepared by managing priorities, coordinating practical arrangements, and tracking follow-up actions

Coordinate executive meetings, leadership offsites, and company events, through venue sourcing, bookings, travel arrangements, catering, and on-site support

Manage day-to-day office operations, including meeting rooms, office supplies, catering, visitor/parking management and workplace facilities

Support onboarding activities and events for new employees, ensuring a smooth and welcoming start at Sunrock

Maintain and improve office processes, documentation, and internal communications, ensuring information is accurate, well-organized, and effectively shared across the business.

Monitor workplace health, safety, and compliance requirements and ensure a safe and productive working environment

Work closely with the People Team, IT Team and other support functions to ensure smooth daily operations
