Client Industry: Social Work & Psychology Private Practice
Location: Remote (US Based Client)
Hours: 10 hours per week (with potential to scale)
Compensation: $7-$10 / hour (commensurate with experience)
About the Role
We are seeking a highly articulate, empathetic, and exceptionally organized Remote Office Receptionist & EA to serve as the vital frontline support for a busy mental health and social work practice.
This is a communication-heavy role. You will be the primary voice and face of the practice, managing the daily flow of client phone calls and SMS/text messages . Because you will be interacting directly with North American or Western clients during vulnerable or sensitive moments, a native, near-native, or completely neutral (zero) English accent is strictly required.
Key Responsibilities
- Live Call & Text Management: Serve as the primary receptionist, answering inbound calls, making outbound follow-ups, and managing the practice's text messaging/SMS channels in real-time.
- Client Intake & Communication: Handle prospective client inquiries warmly, conduct initial intake screenings, and guide new clients through the onboarding process.
- Calendar & Appointment Booking: Manage the clinician's daily and weekly calendar, scheduling new appointments, handling cancellations/reschedules, and optimizing the daily flow via text and phone.
- Office Administration: Keep client records up to date, organize files, manage basic invoicing/billing tracking, and ensure daily admin workflows run smoothly.
Position Requirements
- Communication: Absolute fluency in English with a native or zero accent. Must be incredibly comfortable on the phone and have a warm, natural conversational cadence.
- Text/SMS Savvy: Strong written skills with the ability to text clients professionally, clearly, and efficiently.
- Experience: Previous experience as a virtual receptionist, medical administrative assistant, or phone-based intake coordinator is highly preferred. Experience in a psychology or healthcare setting is a major plus.
- Soft Skills: High emotional intelligence, deep empathy, and the ability to handle sensitive or emotional client situations over the phone with composure and total confidentiality.
- Tech Savvy: Proficient with Google Workspace and modern communication platforms (e.g., RingCentral, OpenPhone, or practice software like SimplePractice).
