Executive Assistant
Job description
We are seeking a highly organized and detail-oriented Executive Assistant to join our dynamic team in Doha, Qatar. In this pivotal role, you will provide comprehensive administrative support to senior executives, enabling them to focus on strategic initiatives while you manage the complexities of their daily operations. As an Executive Assistant, you will be the backbone of executive productivity, demonstrating exceptional organizational prowess, discretion, and a collaborative spirit in a fast-paced, multicultural environment.
- Manage executive calendars with precision, balancing competing priorities and ensuring optimal scheduling aligned with executive preferences and organizational goals
- Facilitate seamless communication between executives and internal/external stakeholders, maintaining accessibility while protecting executive time and confidentiality
- Coordinate and execute domestic and international travel arrangements, including itinerary planning, accommodation, and logistics management
- Prepare, organize, and coordinate high-impact presentations, reports, and business correspondence with meticulous attention to detail
- Plan and execute virtual and in-person events, from intimate meetings to large-scale conferences, ensuring flawless execution and professional representation
- Create and maintain comprehensive administrative documentation including spreadsheets, distribution lists, databases, and tracking systems in anticipation of executive needs
- Process and manage expense reports, purchase orders, invoices, and vendor coordination in compliance with organizational policies and service level agreements
- Attend executive meetings, document minutes, and follow up on action items with accountability and thoroughness
- Conduct research and analysis to support executive decision-making and strategic planning initiatives
- Collaborate effectively across all organizational levels, building strong professional networks and serving as a representative of the organization when appropriate
- Maintain the highest standards of confidentiality, business ethics, and compliance with company policies and local regulations
- Demonstrate flexibility and resilience in adapting to changing priorities, emerging challenges, and evolving business needs
- Perform additional projects and duties as assigned, contributing to broader organizational objectives
- Bachelor's degree or 5+ years of professional experience in executive support or related corporate role
- Advanced proficiency with Microsoft 365 applications (Word, Excel, Outlook, PowerPoint)
- Exceptional organizational and time management skills with ability to manage multiple competing demands
- Excellent written and verbal communication skills in English; multilingual capabilities are a plus
- Strong attention to detail with proven ability to deliver accurate documentation
- Demonstrated experience managing executive calendars, travel arrangements, and events
- Proficiency in expense report preparation and basic financial administration
- Ability to work independently with sound judgment and discretion
- Strong interpersonal skills and experience in multicultural environments
- Commitment to maintaining confidentiality and adhering to business ethics standards
- Experience supporting C-suite or senior leadership executives
- Familiarity with SharePoint, content management systems, or accounts payable processes
- Knowledge of Middle East business practices and cultural awareness
