St. Joan of Arc School in Aberdeen, Maryland is seeking a welcoming, organized, and detail-oriented part-time Administrative Assistant to join our school office team. This position plays a vital role in supporting the daily operations of the school by providing administrative and office support to students, families, faculty, and visitors.
The Administrative Assistant will perform a wide range of clerical, administrative, and customer service duties, helping to ensure the school office runs efficiently and professionally. Essential Functions
- Greet office visitors in a friendly manner.
- Provide information and support to parents, students, and staff as needed.
- Assist with solving school/office problems with clarity and positivity.
- Work with office staff to find solutions to parent inquiries.
- Maintain records for the school office, including maintaining student files via paper and electronically.
- Answering and assisting incoming office calls in a friendly, positive manner.
- Create documents including correspondence and reports to other schools, businesses, and parents.
- Schedule and coordinate meetings, appointments, events, and travel arrangements.
- Assist parent volunteers with fundraising needs and events.
- Sort and distribute incoming mail.
- Maintain the VIRTUS database.
- Maintain daily attendance, tardies, and other requests, entering this information into PowerSchool.
- Assist with Admissions where necessary.
- Collaborate on the preparation of documents for standardized testing.
Position Qualifications
- Some college experience a plus.
- 2-5 years' experience in an administrative support role.
- Previous experience in an educational setting (preferred).
- Proficient in Microsoft Office, including Microsoft Outlook, and Google Docs.
- Knowledge of principles and practice of office management.
- Commitment to exemplary customer service.
- Strong written and verbal communication skills.
- Desire to participate in on-going training.
- Teamwork with an emphasis on flexibility and adaptability.
- Effective problem solving, prioritization, and decision-making skills.
- Attention to detail and accuracy.
- Ability to deal with the ambiguity of handling new questions or problems that occur throughout the day.
- The ability to juggle multiple projects at the same time.
- Willingness to research previous solutions as a resource in solving current issues.
- Punctuality.
Pay Range: $16.00 - $17.00, Hourly
