GENERAL RESPONSIBILITIES
In this challenging role, you will be supporting the HR - Human Resources department at Greenville Technical College. Duties may include any or all of the following.
Provides executive level support to the Chief Human Resources Officer (CHRO), business management and administrative support for the Human Resources and CPE departments and manages the leave and time keeping programs for Greenville Technical College. Ensures compliance with all related state and federal laws, state regulations and SBTCE and GTC policies and procedures in the performance for responsibilities.
Conducts general and specific HR related research and provides associated information to CHRO as needed. Anticipates routine and on-going needs and provides reminders and updates to assist in meeting deadlines and/or to keep projects and issues on track. Initiates drafts or correspondence on behalf of the CHRO, proofs correspondence, reports, legal memoranda and other highly sensitive HR/employee relations related documents. Maintains confidential reports and files for the CHRO as requested. Coordinates and maintains daily calendar, scheduling appointments with employees or other stakeholders, proactively adding college and/or community events to the calendar. Assists in keeping federal/state mandatory postings current based on federal and state laws. Processes travel requests and authorizations, arrangements and reimbursements for the CHRO.
Manages Leave Programs – manages the college wide leave function, interpreting and applying related laws, policies and procedures. Ensures ongoing accuracy of time/leave keeping system with regard to leave earnings, leave used and hours worked. Prepares monthly report of any leave without pay (LWOP), enters compensatory time accrued and provides payroll with any adjustments required for the pay cycle by the
Departmental Support: Serves as the first point of contact for walk-in visitors and callers to the general HR phone line. Greets callers and visitors promptly and professionally. Answers routine questions and provides general information to customers, referring to colleagues or to other offices when appropriate. Provides business management and support activities for the HR and CPE departments to include but not limited to, creating and processing requisitions, travel authorizations, travel arrangements, travel reimbursements. Maintaining department calendar and room reservations (anticipate room conflicts in advance to secure alternate locations as needed). Schedule meetings as requested. Performs yearly office inventory, maintains office supplies, keeping stock of all needed supplies including toners, calls in repair requests and enters IT help tickets as needed. Performs annual records retention purging for employee records, per state requirements. Completes employment verifications for current and prior employees. Sorts and distributes mail. Logs and tracks all dual employment/overload forms, calculates 30% and reviews to ensure request does not exceed 30%. Assists in maintain employee personnel files. Orders and disseminates name badges for new FTE employees.
Customer Support: Assists applicants with completing online applications as needed. Assists new hires with completion of onboarding forms, as needed, answering questions regarding in person or online forms processing.Compiles employee orientation packets and other employee materials for distribution. Assists with the development and distribution of mass mailings such as compensation letters, invitations, etc.
Maintains departmental P Card and associated expense documentation. Ensures departmental expenditures are charged to the correct account and object code. Ensure reconciliations are submitted timely and accurately. Assists the CHRO with budget compliance, development, tracking and reporting.
Exit Interview Management: Coordinates the exit interview process. Disseminates employee retirement and resignation letters within the department as appropriate. Prepares exit interview paperwork. Schedules exit interview appointments with the employee and HR staff as requested. Ensure return of keys to facilities, destroys ID badges and communicates with appropriate GTC personnel regarding terminations for security purposes. Orders artwork for retirees. Provides reports regarding exit interview information and related statistics.
Serves as HR representative on College Wellness Initiatives, meets with the committee and ensures activities support employee wellness while adhering to GTC policies and procedures and related laws. Serves as backup for the Employment Specialists, conducts college background checks as needed. Assists in the development and tracking of the WIG. Performs other duties as requested by CHRO.

MINIMUM QUALIFICATIONS
A high school diploma and clerical or administrative experience. A bachelor's degree may be substituted for the required work experience.
PREFERRED QUALIFICATIONS Bachelor's degree; or, an associate degree plus two (2) years clerical or administrative work experience
