Position Highlights

The Department of Intelligence Operations and the Cyber Convergence Center (C3) are leaders in delivering innovative education, training, and workforce development programs focused on intelligence and information operations and emerging technologies. Together, the department and center support academic programs, sponsored initiatives, and immersive virtual learning environments that serve students, government agencies, defense organizations, and industry partners.

The department is seeking an Administrative Support Assistant who will assist the Department Head and Operations Manager with the day-to-day duties and responsibilities of the Department of Intelligence Operations and the Cyber Convergence Center. The successful candidate will exercise initiative, resourcefulness, and good judgment in an environment that is high energy and fast-paced. The successful candidate will also have an inviting, engaging, and positive personality. High proficiency and comfort in multi-tasking while ensuring great attention to detail, strong customer service, and excellent oral and written communication skills are critical for success in this role. This position is located in Sierra Vista, Arizona, and may require travel to other UArizona locations throughout the state.

Duties & Responsibilities

Administrative & Office Operations

  • Provide administrative support to department leadership, faculty, staff, and researchers.
  • Coordinate calendars, meetings, travel arrangements, and events.
  • Prepare correspondence, agendas, meeting materials, and minutes.
  • Maintain office procedures, records, and supply inventories.
  • Support website and information updates as assigned.

Records, Data Management & Reporting

  • Organizes, maintain, and update files, databases, records, and reports.
  • Develop and maintain record-keeping processes and tracking systems.
  • Review, summarize, and compile information for recurring and ad hoc reports.
  • Ensure accuracy and integrity of departmental data and documentation.

Customer Service & Stakeholder Support

  • Provide basic customer service support for students, faculty, staff, alumni, external partners, and the public.
  • Respond to inquiries and provide guidance regarding departmental and university policies, procedures, and services.
  • Some exchange of information with other internal departments or work groups.
  • Maintain a high level of professionalism, confidentiality, and customer service.

Financial & Resource Support

  • Assist with budget tracking, reconciliation, and financial record maintenance.
  • May assist in reconciling expenditures and identify discrepancies for resolution
  • Support procurement and inventory activities.
  • Assist with administrative processes related to departmental operations and resource management.

Knowledge, Skills, and Abilities (KSAs)

  • Ability to communicate effectively both verbally and through written communication.
  • Possesses a full range and depth of professional knowledge and experience which allows them to work independently.
  • Customer service oriented.
  • Ability to use critical, independent thinking.
  • Ability to multi-task in a fast-paced environment.
  • Excellent time management skills.
  • Excellent computer skills.
  • Proficient in Windows and Mac OS and MS Office Suite
