HR Assistant

Your Role

The HR Assistant provides administrative and operational support to the Human Resources department across all areas of the employee lifecycle, including recruitment, onboarding and offboarding, employee records management, benefits administration, training coordination, compliance, and workforce documentation. This position serves as a resource for employees and managers by delivering responsive customer service, maintaining confidential information, and ensuring HR processes are completed accurately and efficiently. The HR Assistant works collaboratively with Human Resources, the Workforce Manager, and Operations to support both office and field employees while maintaining accurate records and assisting with workforce planning and compliance activities.

What You'll Do

Recruitment & Onboarding

  • Post and maintain job postings, ensuring they stay current on the different platforms.
  • Coordinate interviews, candidate communications, and pre-employment activities and verifications.
  • Prepare letters, employment documents, and onboarding materials.
  • Facilitate new hire onboarding, orientation logistics, and employee setup.
  • Assist with new hire paperwork and ensure all required documentation is received.
  • Complete I-9s and employment verification accurately and on time for all new hires.
  • Coordinate orientation scheduling and logistics so new hires and their leaders have clear, timely onboarding plans.

HR Data, Reporting & Compliance

  • Maintain accurate, organized, and confidential employee personnel files, certifications HR records, and compliance documentation across all systems.
  • Process employee status changes, including promotions, transfers, compensation changes, and separations.
  • Prepare employment-related correspondence, reports, and HR documentation.
  • Prepare and maintain weekly, monthly, quarterly, and ad hoc HR metrics and reports with a high standard of accuracy.
  • Assist with HR audits, records retention, and compliance activities.
  • Maintain organizational charts, employee directories, and other HR reporting resources.

Benefits & Leave Administration

  • Assist employees with benefit enrollment and general benefit questions.
  • Support annual open enrollment activities.
  • Coordinate benefit communications and employee documentation.
  • Assist with leave administration documentation and tracking.

Training & Employee Development

  • Coordinate employee training registrations and schedules.
  • Maintain learning management system (LMS) records and training completions.
  • Assist with compliance training and required certifications.
  • Support performance review administration and employee development initiatives.

Employee Support

  • Serve as a first point of contact for routine HR questions regarding policies, procedures, and benefits.
  • Support employee engagement, recognition, and wellness initiatives.
  • Assist with internal communications and HR announcements.
  • Promote a positive employee experience through responsive customer service.

General HR Support

  • Assist with HR projects, process improvements, and departmental initiatives.
  • Generate reports and compile HR metrics.
  • Maintain confidentiality of employee and company information.
  • Perform other duties as assigned to support departmental and organizational objectives.

Experience

  • Associate's or bachelor’s degree in Human Resources, Business Administration, or a related field preferred, or an equivalent combination of education and experience.
  • 2+ years of administrative or Human Resources experience.
  • Strong organizational skills with excellent attention to detail.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and the ability to quickly learn HR software systems.
  • Ability to maintain confidentiality and exercise sound judgment.

Preferred Qualifications

  • Experience with an HRIS or Applicant Tracking System (ATS).
  • Experience supporting recruiting, onboarding, or employee benefits.
  • Experience in construction, engineering, or a similar project-based industry is a plus.

Work Location, Environment & Travel Requirements

  • Work is primarily performed in a typical office environment with a generally quiet noise level. Occasional visits to construction jobsites may be required, where noise levels and environmental conditions are greater than those of a traditional office setting.
  • Standard business hours with occasional flexibility needed to support career fairs, recruiting events, or special HR events outside normal hours
  • Occasional local or regional travel required for recruiting events and professional development opportunities
  • The employee may occasionally lift and/or move up to twenty-five pounds, but with limited exposure to physical risk.
  • While performing the duties of this job, the employee is required to sit, talk, and hear. The employee is occasionally required to stand; walk; use hands; reach; and stoop or kneel.
  • Specific vision abilities include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
