Position Summary
Under the direction of the Athletic Director, provides clerical support for the Wiseburn+Da Vinci Athletics program. Key responsibilities involve supporting the Athletic Director in overseeing an athletic program that integrates robust academics with physical fitness, sportsmanship, leadership and teamwork skills, and respect for the student body and self. 11-month part-time position.
Responsibilities include supporting the Athletic Director to:
- Clerical for the athletic program for Da Vinci’s high schools in accordance with the mission, vision and goals of Da Vinci Schools and the Wiseburn Unified School District, working on site or remote, as directed by the Athletic Director.
- Ensure student athlete and event compliance with all state and local regulations and all aspects of membership in the CIF Southern Section (CIFSS).
- Support the Athletic Director in providing direction to coaches, students and parents/guardians in the areas of athletics, and safety requirements. Update the program’s vision, mission, goals, and procedures in the Parent-Student Handbook, to be updated annually.
- Oversee eligibility requirements, including verification of physical clearances and academic (grade) checks.
- Ensure alignment between the Coaches Handbook and the Student-Parent Handbook, maintaining consistency in policies, expectations, and procedures.
- Coordinate with Campus Safety personnel and School Resource Officer to ensure safety at all home games for players, coaches and spectators. Communicate and coordinate with all personnel regarding all safety issues related to all sporting events held at any of the WDV athletic facilities.
- Coordinate with the Athletic Director on submitting the CIF application, fees, and eligibility process and maintain good-standing with CIF.
- Assist with practice and game schedules, provide referees, arrange all transportation, and maintain CIF record keeping, including accurate records of team and individual athletic statistics and accomplishments.
- Assist in the hiring process by recruiting, interviewing and recommending qualified and properly trained coaches. Mentor, supervise, and evaluate coaching staff for the overall safety and welfare of the Da Vinci students and staff.
- Assist in scheduling and communicating professional development opportunities for coaches to foster growth and encourage continual learning in areas related to their respective sport.
- Manage and oversee external communications, including blog content, social media (e.g., Instagram), and ongoing maintenance of the WDV Athletics website.
- Prepare and distribute contracts for visiting teams participating in games and tournaments.
- Assist with responses to student health and safety concerns related to all practices and sporting events.
- Ensure compliance with all guidelines pertaining to health and youth sports from CIF State, CIF Southern Section, and Los Angeles State and County Departments of Public Health.
- Assist with a training program with partner sports performance training groups. Serve as the liaison between coaches and sports performance training groups.
- Coordinate with the Director of Facilities to manage the cleaning and disinfection of all athletic facilities. Manage, coordinate, and maintain the upkeep and routine maintenance of all Da Vinci athletic facilities.
- Ensure Emergency Action Plans are completed for every sport and facility
- Schedule buses and other clerical tasks, as directed by the Athletic Director
- Other related duties as assigned.
- MUST BE AVAILABLE AFTERNOONS AND EVENINGS.
Qualifications
- Some college preferred
- Prior knowledge of a school athletics program preferred
- Prior clerical experience required
- Strong interpersonal skills, especially the ability to communicate and work well with others from diverse backgrounds.
- Ability to apply diversity, equity, and inclusion best practices with students and families.
- Outstanding organizational and communication skills with a professional and empathetic approach. Ability to communicate clearly and effectively in a timely manner, verbally and in writing.
- Technology skills including the ability to use email, Internet, Word, Excel, and Outlook and other athletics department software programs. Ability to incorporate technology to maintain the operations of the program, including the use of the WDV website page, social media, blogs and any software needed to run the athletics program.
- Capacity to meet the physical demands of the position, including but not limited to:
- occasional lifting, carrying, pushing, and/or pulling up to 50 pounds of force
- some climbing and balancing
- some stooping, kneeling, crouching, and/or crawling
