Role: Project-Based Event Planner Reporting to: Group Project Manager Contract Type: Per-Project Engagement Location: East Africa (with ability to travel based on event location) Key Responsibilities – Event Planner As an Event Planner at Billion Events, you will work under the guidance of the Project Manager and collaborate closely with internal teams to ensure seamless event execution from concept to completion. Your core responsibilities will include but not limited to: Client Relationship & Experience Management Act as the primary point of contact for assigned clients throughout the event lifecycle. Meet with clients to understand their event objectives, preferences, and budgetary considerations. Propose tailored solutions that align with client needs and the Billion Events standard of excellence. Maintain strong, trust-based relationships with clients, ensuring clear communication and a positive experience. Event Planning & Execution Lead end-to-end planning and coordination of assigned events—from ideation to execution and post-event review. Create and manage detailed event timelines, task checklists, and project documents. Oversee all event logistics including venue setup, on-site coordination, guest flow, teardown, and contingency handling Venue & Vendor Management Research, evaluate, and book appropriate venues in line with event requirements. Negotiate contracts and manage logistical elements such as transportation and accommodation where necessary. Ensure timely coordination and quality control of all vendor deliverables. Budget & Reporting Prepare and manage event budgets, ensuring all activities remain within agreed financial parameters. Track expenses, maintain accurate records, and ensure accountability throughout. Submit post-event reports, debrief summaries, and lessons-learned documents to support continuous improvement. Collaboration & Team Coordination Work closely with the CEO and internal teams including the Admin & Brand Coordinator to harmonize plans and task execution. Support the marketing and consultancy teams with event-specific feedback and data. Participate in strategy and debrief meetings, offering insight based on event experience. Marketing Support & Brand Representation Assist in pre-event promotional efforts and support brand awareness through client-facing interactions. Represent the Billion Events brand with professionalism and enthusiasm, both online and on-site. Support content documentation during events for use in marketing and reporting (e.g., photos, videos, testimonials). Requirements Who We're Looking For: Someone who lives and breathes logistics, thrives under pressure, loves the energy of events, and has a knack for executing big ideas with precision. Whether you’ve led projects before or are rising quickly in the field, we want East Africa’s next generation of event execution stars. We’re looking for passionate and detail-driven individuals who are eager to make their mark in East Africa’s dynamic event industry. The ideal candidate will possess the following: A Bachelor’s degree in Hospitality Management, Events, Business Operations, Marketing, Communications, or a related field. A strong background or deep interest in events, hospitality, marketing, communications, or project management. Outstanding coordination abilities with a keen eye for timelines, execution details, and structured planning. Excellent written and verbal communication skills with the ability to engage clients, vendors, and internal teams professionally. Strong negotiation and people skills are a must. A natural flair for customer service and the ability to manage client expectations with empathy, efficiency, and professionalism. Comfortable using digital tools such as Zoho (especially Zoho Backstage), Google Suite, Canva, Excel, and other event/project management platforms. Competent in developing and managing event budgets, ensuring adherence to financial plans while delivering high-quality experiences. Comfortable working in high-pressure, fast-paced environments and able to adjust to changing priorities with a positive attitude.
