Administrative Assistant

Program/Location: New Bedford Outpatient Education/Licensure: High School Diploma or Equivalent Starting Pay: $21-$26/hr dependent on education and experience Shift: Full Time, 36hrs/week Monday-Thursday, 11:30am-8pm AND EVERY Saturday 8AM-12PM

High Point & Affiliated Organizations is a health and human service agency whose mission is to treat and prevent substance use disorders and mental illness. High Point has programs located throughout Southeastern Massachusetts offering a full continuum of care for substance use and mental health treatment, including inpatient, outpatient, residential, and community-based services. Programs and services also assist survivors of abuse, violence, and families experiencing homelessness. High Point believes that everyone has inherent goodness, worth, and dignity. Our goal is to help individuals and families achieve personal change and improve their quality of life.

Outpatient substance use disorder and mental health services are located across Southeastern Massachusetts in Brockton, New Bedford, and Plymouth. These services are available during the day, as well as evenings. We offer individual, group, family services, and medication management to address diverse clinical needs. An interdisciplinary team of professionals includes licensed social workers, clinicians, psychiatrists, and psychologists.

Administrative Assistant Requirements

Must always present as courteous and professional

Demonstrated flexibility and ability to perform multiple tasks

Must have excellent communication skills, including the ability to organize ideas in logical and clear fashion

Excellent telephone etiquette and ability to manage a busy phone system;

Ability to organize and prioritize a demanding workload while adhering to project timelines

Knowledge of basic computer skills and software programs

Must have the ability to work with others in a cooperative and collaborative manner

Ability to understand and implement Trauma Informed Care

Maintains appropriate boundaries and adheres to code of ethics

Comply with federal and state regulations concerning confidentiality

Understand and adhere to all applicable policies and procedures of HPAO

Complete TB screening requirements

Completion of the HPAO approved de-escalation program

CPR / First Aid Certification

Valid Driver's License (requirement may be waived)

Administrative Assistant Duties & Responsibilities

Greet and sign in all visitors and guests.

Complete and upload SharePoint reports as assigned.

Provide clerical support to staff and Program Management.

Record, edit and distribute meeting minutes as requested by the Program Director

Attend supervision, required staff meetings, facility meetings, trainings and all other meetings as required

Develop good working relationships with other staff members to reinforce a team approach

Participate in annual Continuous Quality Improvement and comply with Quality Assessment Report data collection requirements

Always utilize universal/standard precautions

Perform other duties as assigned by the Program Director and COO

Outpatient Services Specific Duties and Responsibilities

An understanding of SUD and the relationship between substance use and mental health issues.

Understanding of urgent care models of appointment scheduling within required timeframes.

Provide support to patients with troubleshooting telehealth technology to engage in appointments.

Monitor program safety for patients during their time onsite, including reception/waiting areas, restrooms, hallways.

Ability to utilize phone technology for completing warm transfers and accessing three-way calling with interpreter services.

Administrative Assistant Qualifications

  • Minimum of high school diploma or equivalent, preferred (GED)
  • Knowledge of Microsoft Word, Excel, Adobe Acrobat and PowerPoint programs.
  • Excellent oral and written communication skills
