Operations Program Specialist

Job Description

The Operations Specialist I supports the Austin Business Center by coordinating and executing activities across multiple strategic site projects. This role focuses on operational efficiency, project coordination, data tracking, and cross-team communication to help ensure timely and accurate delivery of strategic initiatives. The ideal candidate is detail-oriented, proactive, and comfortable working with a variety of stakeholders.

Key Responsibilities

• Provide day-to-day operational support for strategic site projects, ensuring tasks, timelines, and deliverables are tracked and completed.
• Assist in gathering, organizing, and analyzing data to support decision-making and project performance reporting.
• Maintain project documentation including project plans, status reports, workflows, and process updates.
• Coordinate meetings, prepare agendas, capture notes, and follow up on action items with cross-functional teams.
• Support process improvement initiatives by identifying opportunities, mapping workflows, and helping implement new procedures.
• Assist in communication efforts by drafting project updates, presentations, and stakeholder materials.
• Collaborate with business center teams, functional partners, and leadership to support alignment and project execution.
• Help monitor operational metrics and escalate risks or issues that may impact project success.
• Perform general administrative and coordination tasks essential to maintaining smooth operations. Highly motivated and comfortable working in a fast paced environment.

Required Education, Experience, & Skills

• Bachelor’s Degree
• Strong communication and collaboration skills
• Strong problem solving, accountable leadership and influencing skills
• Ability to work in a fast-paced environment, work complex issues, and ensure team meets deadlines.
• Ability to manage through changes in priorities
• Ability to drive team to implement solutions to complex problems
• Strong organizational skills
• Strong proficiency in MS Office (Excel, PowerPoint, Word, MS Project)
• Results oriented, ability to follow through on tasks, influence without authority, experience driving senior level decision making
• Highly organized, good problem-solving skills,
• Ability to work cross-functionally, prioritize, multi-task, and manage major projects
• Equal level of comfort driving analyses or receiving direction, leading or contributing as appropriate, driving conversations or supporting as necessary
• Demonstrated Verbal and Written Communications Skills.
• Strong Presentation Skills. Preferred Education, Experience, & Skills
• Master’s Degree, PMP, Lean, Agile or Six Sigma certification
• Experience in supply chain, negotiations and proposals
• Acute problem solving and analytical abilities including process improvements or program management techniques
• A hands-on leader who builds transparency, values collaboration, holds self and team accountable, empower the team to think beyond the tasks that drive value for the business

Pay Information Full-Time Salary Range: $64926 - $110374

Please note: This range is based on our market pay structures. However, individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
