Job description
We are seeking a welcoming, organized, and customer-focused Front Desk Receptionist to serve as the first point of contact for our company. This role is essential in creating a positive first impression for visitors, clients, and employees while supporting the efficient daily operation of the office. The Front Desk Receptionist will greet visitors in a friendly and professional manner, manage front desk operations, and perform a variety of administrative and office support duties.
Responsibilities
Front Desk & Visitor Management
- Greet visitors, verify the purpose of their visit, and direct them to the appropriate employee or office.
- Maintain visitor sign-in logs and issue visitor badges in accordance with company procedures.
- Promptly escalate security-related questions or concerns to the Facilities Manager.
- Assist with the coordination of building security.
- Maintain a clean, organized, professional lobby and reception area.
Office Organization
- Maintain conference and break rooms in a clean, organized, well-stocked, and professional manner.
- Keep conference room calendars up to date and assist with meeting room reservations.
- Assist with meeting room setup and cleanup as needed.
- Monitor inventory of office, break room, and restroom supplies, and notify the Facilities Manager when replenishment is needed.
- Assist with ordering office and kitchen supplies as directed.
- Responsible for the setup and cleanup of corporate catered lunches
Mail & Deliveries
- Receive, sort, and distribute incoming mail and deliveries, or notify the appropriate recipient of their arrival.
- Maintain distribution logs for accountable mail and packages.
- Prepare and send outgoing mail and packages at the request of managers.
Administrative Support
- Answer, screen, and direct incoming telephone calls.
- Serve as the point of contact for employee business card requests.
- Maintain office administrative records as assigned.
- Perform basic data entry, filing, scanning, and document management.
- Provide general administrative support to the Facilities Manager and the Executive team as needed.
- Perform other duties as assigned.
Essential Functions
- Ability to sit for long periods at the front desk during business hours.
- Ability to hear, talk, and communicate professionally.
- Ability to lift up to 25 lbs. unassisted, push, pull, walk.
- Ability to use computer and phone systems.
- Ability to multitask in a mid- to fast-paced environment.
Qualifications
- High School Diploma or GED
- Excellent communication and customer service skills
- Friendly demeanor and excellent phone etiquette
- Great organization and attention to detail skills
- Proficient using MS products such as Word, Excel, Outlook
- Some experience in administrative positions.
