Accounts Payable Specialist

General Description
The Accounts Payable Specialist is responsible for performing general AP duties within the Accounts Payable department.
Essential Job Functions
- Process and verify a high volume of invoices, ensuring accuracy and proper quotation.
- Match invoices to open accruals and receiving documents.
- Resolve invoice discrepancies with vendors and Operations departments.
- Prepare and execute payments in the bank portal.
- Reconcile vendor statements and maintain vendor accounts.
- Manage vendor relationships and respond to inquiries in a timely and professional manner.
- Assist with the month-end closing process by posting timely payment entries.
- Maintain accurate and organized accounts payable records.
- Assist with audits and provide necessary documentation.
- Maintain petty cash and verify reimbursement vouchers before payment processing.
- Responsible for timely and accurate processing of account payable duties
- Processing invoices by entering them into accounting system and communicate with vendors and branches on issues.
- Making copies of check runs and matching them to the appropriate invoice
- Filing of processed invoices, checks and PO's
- Perform research as needed
- May perform other duties as assigned
Other Skills and Abilities
- Proficiency with accounting software (preferably Sage Accpac).
- Understanding of basic accounting principles.
- Experience in the freight forwarding industry and knowledge of Incoterms.
- Good knowledge of TDS and GST regulations.
- Strong verbal and written communication skills.
- Ability to work independently as well as collaboratively within a team.
- Proficiency in Microsoft Office, especially Excel.
