Position Details
Position Title: Schools & Groups Coordinator Department: Operations & Visitor Experience Reports To: Operations Lead Location: Al Shindagha Museum, Dubai, UAE Contract Type: Full-Time (24-Month Fixed-Term Contract) Contract Duration: 24 Months (August 2026 – July 2028)
About the Role
BLR WORLD is hiring a Schools & Groups Coordinator to manage and coordinate all school, educational, corporate, tourism, and organised group visits across Al Shindagha Museum. Reporting to the Operations Lead, the Schools & Groups Coordinator will be responsible for ensuring the seamless planning, scheduling, coordination, and delivery of group visits while maintaining exceptional visitor experiences and operational efficiency.
The role will serve as the primary point of contact for schools, universities, government entities, tour operators, travel agencies, corporate organisations, and community groups, coordinating all aspects of their museum visits from initial enquiry through to successful completion. Working closely with the Educational Programming Coordinator, Venue & Events Coordinator, Operations Coordinator, Chief Cultural Guides, and Commercial Lead, the Schools & Groups Coordinator will ensure that every organised visit is professionally managed, operationally prepared, and delivered in accordance with Dubai Culture's standards and the museum's educational and visitor experience objectives.
Key Responsibilities
Group Booking Management
- Manage all enquiries, bookings, and scheduling for school visits, educational groups, universities, tour operators, corporate groups, government delegations, and organised visitor groups.
- Act as the primary liaison between external organisations and museum operational teams throughout the booking process.
- Coordinate visit schedules to maximise museum capacity while maintaining an exceptional visitor experience.
- Ensure all booking information is accurately recorded, confirmed, and communicated to relevant departments.
Visit Planning & Coordination
- Prepare detailed operational schedules for all organised group visits, including arrival times, guided tours, workshops, educational activities, venue requirements, and staffing allocations.
- Coordinate with the Operations Lead to ensure appropriate staffing and operational readiness for all scheduled visits.
- Liaise with Chief Cultural Guides to allocate guides according to language requirements, group size, visitor profile, and programme objectives.
- Coordinate special visitor requirements, accessibility needs, VIP visits, and protocol arrangements where applicable.
Educational Visit Coordination
- Work closely with the Educational Programming Coordinator to align school visits with curriculum-based learning programmes and educational objectives.
- Coordinate workshop schedules, educational facilitators, learning resources, and activity materials.
- Ensure educational groups receive appropriate pre-visit information and logistical guidance.
- Support teachers and educational institutions in planning meaningful learning experiences.
Visitor Experience
- Ensure organised groups receive a professional, welcoming, and seamless museum experience from arrival to departure.
- Monitor the quality of group visit delivery and address operational issues promptly.
- Collect feedback from schools, tour leaders, and group organisers to support continuous service improvement.
- Assist with visitor enquiries and resolve booking-related concerns in a timely and professional manner.
Operational Coordination
- Coordinate closely with the Operations Coordinator to ensure daily operational schedules accurately reflect group bookings and staffing requirements.
- Liaise with the Venue & Events Coordinator where group visits overlap with museum events or venue bookings.
- Coordinate with the Commercial Lead regarding commercial group opportunities, tourism partnerships, and corporate visits.
- Support operational planning during periods of high visitor demand, seasonal programming, and special events.
Administration
- Maintain accurate booking records, visitor databases, attendance reports, and operational documentation.
- Prepare booking confirmations, itineraries, operational schedules, and internal communications.
- Monitor booking trends and maintain accurate visitor statistics for reporting purposes.
- Ensure all booking records comply with museum policies and data management procedures.
Quality Assurance
Monitor service delivery standards across all organised group visits.
Ensure compliance with museum operational procedures, safeguarding requirements, health and safety standards, and visitor management protocols.
- Identify opportunities to improve booking processes, visitor communication, and operational efficiency.
- Support continuous improvement initiatives relating to organised group experiences.
Reporting
Prepare and submit regular reports to the Operations Lead, including:
School and group booking statistics.
Visitor attendance and participation data.
Tour operator and educational institution engagement.
Visitor feedback and satisfaction analysis.
Booking trends and capacity utilisation.
Operational issues and service improvements.
Recommendations for enhancing organised group experiences.
Required Experience
- Minimum 3 years' experience in visitor services, group bookings, tourism operations, educational coordination, hospitality, museums, or cultural institutions.
- Experience coordinating school visits, educational programmes, tourism groups, or organised visitor experiences. •
Strong organisational, scheduling, and administrative skills.
Excellent communication and stakeholder management abilities.
- Experience managing multiple bookings and operational priorities simultaneously. •
Strong customer service orientation and attention to detail.
Proficiency in Microsoft Office and booking or scheduling systems.
Preferred Experience
- Experience working in museums, cultural institutions, heritage sites, or visitor attractions. •
Knowledge of UAE tourism, education, and cultural sectors.
- Experience working with schools, universities, tour operators, or destination management organisations. •
Familiarity with visitor management systems and CRM platforms.
Additional language skills, particularly Arabic, are advantageous.
Required Education / Qualifications
- Bachelor's degree in Tourism, Hospitality Management, Business Administration, Event Management, Cultural Management, Education, or a related discipline.
- Professional qualifications in Customer Service, Visitor Experience, Tourism, or Event Coordination are advantageous.
Location and Commitment
Full-time position.
24-month fixed-term contract.
Working 5 days per week, with flexibility to support operational requirements, seasonal programming, public holidays, special events, and emergency operational needs. •
Regular presence across all Al Shindagha Museum pavilions and facilities.
Location: Al Shindagha Museum, Dubai, United Arab Emirates.
