Executive Secretary to Marketing Director
We are seeking a highly organized and professional Executive Secretary to provide executive and administrative support to the Marketing Director. The role includes managing schedules, coordinating meetings, preparing reports and presentations, handling communications, and supporting daily departmental operations while ensuring confidentiality and accuracy.
Key Responsibilities
- Manage the director's calendar, meetings, appointments, and daily agenda.
- Prepare meeting agendas, minutes, reports, presentations, and executive summaries.
- Draft professional emails and official letters in Arabic and English.
- Maintain organized filing systems and manage confidential documents.
- Coordinate with internal departments to follow up on tasks, requests, and deadlines.
- Support customer communication, documentation, and operational follow-ups when needed.
- Arrange travel, business trips, and logistics for meetings when required.
- Track pending tasks and prepare weekly/monthly updates.
Requirements
- Bachelor's degree in Business Administration, Commerce, Languages, or a related field.
- 4–6 years of experience as an Executive Secretary, Executive Assistant, or Administrative Coordinator.
- Previous experience supporting senior management is a must.
- Excellent English level, preferably B2/C1.
- Advanced Microsoft Office skills, especially Excel, Word, PowerPoint, and Outlook.
- Experience with ERP or CRM systems is preferred.
- Excellent communication, organization, time management, and follow-up skills.
- High attention to detail, confidentiality, and ability to work under pressure.
