Requirements

  • Bachelor's degree in Marketing, Business Administration, Communications, or a related field.
  • 2+ years of experience managing email marketing and outbound lead generation campaigns.
  • Experience in the Information Technology or Software Development industry is preferred.
  • Prior experience working in a Software Development company is preferred.
  • Strong written and verbal communication skills in English.
  • Hands-on experience with Instantly or similar cold email platforms.
  • Experience using Salesforce CRM for lead management and pipeline tracking.
  • Strong knowledge of lead data management, including data cleaning, deduplication, segmentation, and CSV preparation.
  • Ability to create and manage multi-step email sequences, personalize outreach, qualify leads, and handle email responses effectively.
  • Basic understanding of email deliverability concepts, including email warm-up, sending limits, bounce management, spam prevention, and SPF, DKIM, and DMARC.
  • Experience engaging prospects, asking qualifying questions, and scheduling discovery calls for Account Executives.
  • Familiarity with automation tools such as Zapier or n8n.
  • Experience using lead generation platforms such as Apollo, LinkedIn Sales Navigator, and Skrapp.
  • Familiarity with email verification tools and inbox placement best practices.
  • Basic sales communication skills, including follow-ups, objection handling, and meeting coordination.
  • Proficiency in Microsoft Excel or Google Sheets, including basic formulas for data cleaning and reporting.
  • Excellent communication and interpersonal skills, with the ability to actively listen, understand customer needs, and build professional relationships.
  • Strong sense of ownership and accountability for managing the sales pipeline and maintaining consistent follow-ups.
  • Resilient, persistent, and self-motivated, with the ability to handle rejection professionally and remain focused on achieving targets.

Responsibilities

  • Manage end-to-end outbound email campaigns, including mass and drip campaigns, using Salesforce and Instantly/GHL.
  • Define Ideal Customer Profiles (ICPs) and extract targeted prospect data based on campaign requirements.
  • Prepare, clean, deduplicate, tag, and organize lead data before campaign launches.
  • Segment prospect lists based on industry, job role, geography, company size, and campaign objectives.
  • Import and manage leads in Salesforce and GHL while maintaining accurate lifecycle stages and CRM records.
  • Create, personalize, schedule, and optimize multi-step email sequences based on recipient time zones.
  • Monitor email deliverability by tracking warm-up status, daily sending limits, inbox health, bounce rates, and spam indicators.
  • Coordinate with the DevOps team on SPF, DKIM, and DMARC configurations to ensure optimal email deliverability when required.
  • Track and analyze campaign performance metrics, including open rates, reply rates, bounce rates, and conversions, and optimize campaigns based on insights.
  • Review and respond to initial prospect replies, categorize responses, update CRM records, and identify qualified opportunities.
  • Assign qualified leads to the SDR or Account Executive team and coordinate follow-ups and discovery meetings.
  • Maintain unsubscribe and suppression lists to ensure compliance with email marketing best practices.
  • Pause, troubleshoot, and optimize campaigns when bounce rates or spam signals exceed acceptable thresholds.
  • Conduct A/B testing on subject lines, email content, and campaign messaging to improve engagement and conversion rates.
  • Ensure accurate synchronization of campaign activities between Instantly and Salesforce through automation tools such as Zapier or n8n.
  • Prepare and share weekly campaign performance reports with actionable insights and recommendations.
  • Ensure compliance with email marketing regulations and maintain safe sending practices.
  • Manage outbound prospect engagement through LinkedIn and other outreach channels, generating responses and nurturing prospects into qualified leads.
