Position Summary
Reporting to the Senior Director, the Extra Help Program Coordinator supports alumni and donor engagement through a combination of data-driven analysis, event coordination, and communications, with a high degree of confidentiality. The role involves researching alumni and donor behavior, engagement trends, analyzing participation and donor data, designing and assessing surveys, and synthesizing insights to assist strategic planning decisions
Duties & Responsibilities
- Research and Behavioral Data Analysis
- Conduct research on alumni engagement trends and behavioral participation patterns, to inform outreach and programming strategy
- Analyze alumni behavioral data from the TED (Tracking and Engagement Database) to identify patterns in event attendance, donor interest, and alumni involvement, applying knowledge of behavioral and social psychology
- Conduct quantitative and qualitative analysis of alumni demographics and event attendance to support program evaluation and strategic planning
- Examine correlation factors influencing event outcomes — such as the effect of external variables (e.g., weather, timing, location) on attendance, and behavioral and demographic factors associated with donor engagement and giving patterns across events
- Identify trends in donor participation to support strategies for increasing alumni giving and engagement
- Synthesize findings and prepare data-driven summaries for senior staff to guide alumni programming decisions
- Reporting and Survey Assessment
- Design and administer post-event surveys to evaluate constituent experience, applying knowledge of survey methodology
- Analyze survey results and prepare outcome reports summarizing alumni feedback, attendance data, and engagement metrics
- Maintain accurate records and format data for reporting projects, ensuring consistency across alumni profiles and event documentation
- Database Management (TED & Cvent)
- Manage alumni registration data entry, profile updates, and report generation within the TED alumni database and Cvent event registration system
- Track and reconcile constituent engagement histories across systems, leveraging data management skills
- Event Coordination and Constituent Engagement
- Assist in planning and executing in-person and virtual alumni events, applying community psychology principles to support inclusive and meaningful engagement across diverse alumni populations
- Serve as a day-of point of contact for event constituents, utilizing interpersonal communication skills to address participant needs
- Coordinate event logistics including timelines, materials, and communications with internal teams and alumni stakeholders, applying knowledge of group dynamics and interpersonal communication to support meaningful constituent experiences.
- Help dissemination of event materials, gifts, and communications before and after events
- Communications and Outreach
- Compose and edit event correspondence and alumni communications, applying professional writing skills developed through academic and clinical training
- Respond to email inquiries from alumni constituents, applying active listening and interpersonal communication skills
- Post event photos and collateral to digital platforms to support alumni engagement outreach
- Perform other related duties and participate in special projects as assigned.
Minimum Qualifications
- Bachelor’s degree.
- A total of one (1) year (12 months) in education, training and/or work experience in the area of specialization inherent to the position. (Note: Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.)
